About the Job
Assistant Bookkeeper Job Description
This position is a part-time position to support the Finance Manager with handling financial draws to clients, as well as invoices from subcontractors and vendors for two companies:  a custom home builder and a residential remodeling contractor.
This person will also provide support for other bookkeeping responsibilities such as processing bank statements, credit card statements, general accounts payable and insurance reporting.
Responsibilities – Assist Finance Manager in the following as directed
  • Client Draw Processing
  • Enter all sub/vendor invoices into accounting system & Build Tools; verify against POs
  • Prepare PM folders with job invoices for PM review every Monday (for Tuesday meeting)
  • Once job invoices are approved, prepare checks & lien waivers for all subs/vendors that give prompt pay discounts
  • Monthly, compile invoices into project draw folders and prepare draws & payee lists
  • Draws get reviewed by PM, Estimator & Others
General Invoicing
  • Weekly write checks for general invoices that are due
Bank Statements
  • Reconcile monthly bank statements in Quick Books
Credit Card Statements
  • Match up receipts with credit card statement (Amex)
  • Enter credit card charges into spreadsheet & then into Quick Books (Amex & Home Depot)
  • Reconcile credit card statements in QB (Amex)
  • Make credit card payments on line on time (Amex & Home Depot)
Insurance Reporting
  • Complete Builders Risk project worksheet showing new starts and jobs in progress
  • Submit worksheets by 7th of month
Maintain subcontractor documentation 
  • Insurance certificates – keep updated and scanned
  • Subcontractor contract agreements
  • W-9s
